Bernstein Shur, a New England-based law firm that advises clients across the U.S. and around the world, is seeking an Accounts Payable Specialist to work in its Portland, Maine office.

 POSITION OVERVIEW

The Accounts Payable Specialist will be responsible for administering all transactions associated with Accounts Payable (“A/P”) accounts. This is an in-office position, Monday through Friday, 8am – 5pm.

RESPONSIBILITIES INCLUDE

  • Maintain the Accounts Payable functions for the Firm, in accordance with firm policies and procedures.
  • Process and issue payments for vendor invoices, client related expenses, and employee reimbursements, for all offices.
  • Investigate and resolve discrepancies in a timely manner.
  • Maintain positive relationships with vendors and resolve any payment or invoice-related inquiries.
  • Provide a thorough review of all voucher submissions, prior to entering approval workflow. Review supporting documentation for reasonableness, accuracy, propriety, dating.  Conduct follow-up as needed, to address errors and/or omissions.
  • Provide a weekly update of cash requirements to the Director of Finance and Chief Operating Officer.
  • Cut accounts payable checks on a daily and weekly basis, given determined priority, obtain check signature, and distribute checks.
  • Monthly management of the corporate Credit Card program. This includes the on/offboarding of credit card accounts, coordination of receiving backup from all cardholder activity, entering voucher information, and working with the Finance Manager to get the statement amount paid, prior to the monthly due date.
  • Perform vendor setup and maintenance. This includes the procurement of the W-9, address information, and contact information.
  • Collect vendor and client 1099 forms.
  • Additional duties assigned.

 DESIRED SKILLS & QUALIFICATIONS

  • 2+ years’ experience with accounts payable.
  • A positive attitude with excellent interpersonal and communication skills.
  • Must be detail-oriented, timely and accurate with data input.
  • Must exhibit excellent follow-through; the ability to work well with others, at all levels; and prioritize and balance competing demands.
  • Strong organizational skills with the ability to maintain confidentiality.
  • Proficiency with Microsoft Office (Outlook, Word, Excel) required.
  • Prior law firm and Elite system experience is a plus.
  • Accounting background and experience highly encouraged.
